Bookings (Pending, Approved & Cancelled)
Overview
The Bookings section allows you to manage all booking requests received for your listings on Celavivo.
From here, you can review new requests, approve or decline bookings, track confirmed events, and view cancelled bookings.
Who this is for
- Vendors / service providers on Celavivo
- Users with at least one active, bookable listing
Where to find it
From your Dashboard, click Bookings in the left-hand menu.
Under Bookings, you will see:
- Calendar View
- QR Scan
- Pending
- Approved
- Cancelled
Booking statuses explained
Pending bookings
Pending bookings are new booking requests submitted by customers.
This means:
- The customer has selected a date (and time, if applicable)
- The booking is waiting for your action
From Pending, you can:
- Review booking details (date, service, customer info)
- Approve the booking
- Decline the booking
⚠️ Until you approve a booking, it is not confirmed.
Approved bookings
Approved bookings are confirmed bookings.
Once a booking is approved:
- The date is reserved for the customer
- The booking appears in your calendar
- Payment and contract processes (if applicable) are triggered automatically
Approved bookings represent active commitments.
Cancelled bookings
Cancelled bookings include:
- Bookings cancelled by the customer
- Bookings declined by the vendor
- Bookings cancelled due to payment or contract issues (if applicable)
Cancelled bookings are kept for reference and record-keeping.
Calendar View
The Calendar View gives you a visual overview of all bookings.
You can:
- See bookings by date
- Quickly identify busy or unavailable days
- Manage your schedule more easily
This view is especially useful if you have multiple bookings across different listings.
QR Scan
The QR Scan feature allows you to scan booking-related QR codes (if enabled).
This is typically used for:
- On-site booking verification
- Event check-in or validation
Important booking rules
Booking availability
Bookings are only possible if:
- The Booking toggle is ON in your listing
- Pricing & Bookable Services are enabled
- The selected date is not blocked in your availability calendar
Response time matters
Customers expect timely responses.
Best practices:
- Review Pending bookings as soon as possible
- Approve or decline quickly to avoid losing the booking
- Keep your availability calendar up to date
Common issues & solutions
I don’t see any bookings
- Make sure your listing is Active
- Check that Booking is enabled in the listing settings
- Ensure prices and availability are properly set
A booking was made on a date I’m unavailable
- Go to Edit Listing
- Open the Availability Calendar
- Block the relevant date(s)
- Save changes to prevent future bookings
I declined a booking by mistake
- Declined bookings appear under Cancelled
- The customer must submit a new booking request if they still want to proceed
Good to know
- Bookings are linked to specific listings
- Editing a listing does not cancel existing approved bookings
- Contracts (if applicable) are generated only after a booking is approved and payment conditions are met
